El Cerrito HIgh PTSA Executive/Committee Positions

This is a supplement to the ECHS PTSA Bylaws and Standing Rules
Oversees and coordinates the work of an executive board to run the PTSA effectively. This includes meeting regularly with the ECHS principal to determine programs and to help support school staff.
Presides at PTSA board and association meetings. At ECHS, we have 4 association (general) meetings a year. The executive board should meet before each association meeting. These can be scheduled at the convenience of the board.
Serves as the official contact, communicator and representative of a PTSA. This can include attending the 4 Bayside PTA Meetings a year, but is not required.
Designated as an authorized signer for PTSA checks, contracts and authorizations for payment.
Works with other PTSA leaders to connect families, school and community to support student success. While the president does not and should not have to plan all the other programs and events, they are responsible for overseeing things. Delegation is key!
Works as a trusted advisor to the president. Oftentimes, an executive VP would take over as president in a later year, but this is not required.
Serves as a primary PTSA leader towards specific goals consistent with PTA purposes and policies.
Performs the president's duties in their absence, including leading meetings and meeting with the principal.
Carries out other duties outlined in unit bylaws and standing rules or as assigned. The executive VP, president and board can work out specific duties for the VP to take on.
Drafts annual budget
Prepares and signs checks (with co-signer) to pay for authorized expenses
Balances account statements
Prepares monthly budget-to-actual report for Board meetings as well for all Association meetings. Provides books to PTSA Auditor and responds to Auditor inquiries
Prepares yearly tax returns and other state reports. (We are a small PTSA and the tax and other reporting is very straightforward.)
Takes meeting notes at each PTSA meeting, highlighting motions, votes, decisions, and follow-up steps.
Routes draft minutes and receives two pre-approvals of minutes from Board membership attending meeting
Presents minutes from previous meeting at Board and Association meetings.
Assists the President and Vice President with meeting protocols and advises on parliamentary procedure
Chairs Bylaws committee to review unit Bylaws each year and revise Bylaws every three years
Arranges nominating committee’s first meeting, providing information on nomination and election process
Captures, assembles and preserves record of activities and achievement of unit.
Collects volunteer hours for PTSA meetings and events.
Complete and submits the unit’s Annual Historian Report to council PYA(Bayside)
Displays or presents brief overview of PTSA year at last Association meeting
Coordinates programs and calendar based on survey results/community feedback for activities, events and programs that meet parents’ and students’ needs and foster more community involvement.
At ECHS, this means arranging for community education programs at PTSA Association meetings, and coordinating and moderating the Coffee with the Principal events.
Interested Chairs can also arrange education programs such as parent, student, and/or community workshops outside of general meeting dates.
Promotes and coordinates parent, student and teacher participation/membership outreach
Leads annual membership drive month in collaboration with President, Vice President, VP for Communications, and other members
Has access to and coordinates Totem, the online membership system (very easy to use!)
Communications Chair
Promotes PTSA events and shares announcements through various platforms including posting to the Etree, ParentSquare and on social media.
Provide communications/marketing expertise to PTSA Board through copy, editing, and leading PTSA’s communications strategy
Survey students and the school community to determine what type of activities would encourage more student involvement, and to determine student needs and concerns.
Fundraising Chair
This is a new position for the 2026-2027 school year to coordinate and incrementally advance PTSA's fundraising work
Leads development and execution of fundraising plan, including leading fundraising subcommittee/commitee.
Coordinates with Communications Chair, President, Vice President and others to ensure fundraising work is focused and achievable
Presents reports on fundraising plans and outcomes at board and association meetings for approval
Hospitality Committee (Chair and 2-3 members needed)
Provides/coordinates donations of breakfast items for teachers/staff before the start of school in August, and hosts Teacher Appreciation Week breakfast in the spring
Provides/coordinates food and drink contributions for monthly Teacher/Staff meetings through volunteer donations and PTSA purchases. Committee members coordinate donations, purchase food and deliver and set up at school on the day of the meeting (currently the first Wednesday of the month)
Designs theme and “menu” for each meeting
Creates SignUpGenius(on PTSA account) with the list of menu items and sends to echsetree@gmail.com for school-wide distribution.
Provides food at PTSA meetings or events if desired.
Committee members are reimbursed by the PTSA for all purchases.
Wish List Coordinator
Maintains the PTSA’s Amazon Wish List
Receives wish list from teachers/administration
Sources request from community members and other sources like Facebook Free etc.
MAY solicit donations for items on wish list (there is a budget for classroom supplies)
Purchases and delivers requested items
Prom Closet Committee (lead with optional 4-5 committee members)
Confirms with Admin/Senior Class President the date of the Prom and whether it is a joint Prom with Junior Class
Determines a schedule for receiving donations, organizing donations, and opening the Closet for “shopping”(combo of school and weekends)
Determining whether to allow Juniors to also shop the Closet(may depend upon whether it’s a joint Prom)
Creates/coordinates flyers, etree, and social media to solicit donations
Reserves school front lobby with Admin for “shopping” days
Notifies Senior Class President to announce shopping days in Class Instagram and over PA system
Coordinates volunteers for shopping days to set up, help students, and return items to storage.
